Built for FCL centres

Your evenings back.

Enquiries, study plans, homework, attendance, safeguarding, staff, billing and worksheet stock — one login, with the repetitive work done automatically.

Built inside a working First Class Learning franchise centre. Used every day with real children, real parents and real money.

You opened a centre to teach children. Not to count worksheets at 10pm.

Homework planning, chasing invoices, counting stock, chasing answer books, reminding parents — the admin that eats two to three hours of a centre owner’s day. CentreHQ does it while you sleep.

Study plans & homework

Homework that manages itself — and children who want to do it

The teacher sets a pace. Parents pick homework days. CentreHQ lays out every page in sequence around session days, six weeks ahead — and re-flows it automatically when life happens.

  • The official FCL catalogue, built in. 54 maths, 30 English and 18 science modules, plus 46 CGP books. Per-child study plans with drag-to-reorder and “start from here”.
  • Missed a day? Already handled. Next morning the missed pages re-flow into the days before the next session, workload capped, and the parent gets an email listing exactly what’s due each day.
  • Certificates on every pass. Pass a module at 90% and the child advances, a branded certificate is generated, and homework is re-planned — automatically.
  • Traffic-light dashboard for teachers. Homework status by year group, a backlog alert the day before each session, and a two-tap “reset and restart from here”.

5 of 7 stars to your next gift

The child logs in with a centre code and PIN. One sitting per subject: one timer, one mistakes count, one photo of the work. Stars for completions, badges, a gift every 7 stars.

What your teachers never do again

Write out homework page numbers by hand; keep a marking spreadsheet (accuracy is calculated from the mistakes count); re-plan a child’s homework after a missed week or a holiday; work out which module comes next, or type up a certificate.

Material stock · The money-saver

Know what every child costs you.

Know exactly what to order from FCL, never over-order, and never have a child start a module with nothing to give them. No other tuition system does materials.

  • Tracked the way worksheets really work. In sets of ten pages per set number — because a leaver’s leftover sets 7–10 can serve a child who needs set 8, but not one who needs set 2.
  • Zero data entry. Usage burns automatically from each child’s study-plan position. Nobody counts sheets.
  • Forecast ordering. Projects every child’s pace weeks ahead and suggests the exact set ranges to order. One click makes an FCL-ready order sheet with prices and totals.
  • Answer books as loan assets. Auto-issued when a module starts, flagged due-back when it finishes, parent emailed. Damaged or unreturned? A draft invoice is raised at your standard charge, per your policy.

The analytics owners never had.

Total material value on your shelves, what’s out with children, monthly material cost, and cost per child — so you know what every family costs you in materials.

Enquiry to enrolment

Paper-free from first enquiry to signed contract

A parent enquires from your website and picks a time for a call — a few taps later they’re an enrolled family with signed contracts, and nobody printed anything.

New enquiryCall bookedAssessment bookedAssessment doneSigned upEnrolled
  • Public enquiry page. Embeds straight into your website. Every enquiry gets an automatic reply with a personal link to book a call with you — no login, no phone tag.
  • Assessments booked on the call. You talk to every family before they commit. Booking one creates the print-the-pack task and reminds the parents the day before and on the morning.
  • Placement drives the paperwork. Log the assessment with the module and starting page for each subject — the system checks your shelf stock, tells you if material needs ordering, and later seeds the child’s study plan from the same decision.
  • Families sign themselves up. One link: the parent creates their login, completes every detail you need, and lands in your task list ready for service, price and contract.

Contracts parents sign on their phone.

Paste your contract straight from Word. CentreHQ fills in the child’s name, date of birth, services, price, day and payment method, then sends a secure link. Parent and centre both sign; the signed PDF files itself.

  • Dual e-signatures, no parent account needed
  • Photo, video and policy consents ticked inside the document and synced to the child’s record
  • Staff work agreements, with guardian acknowledgement for under-18s
  • “Send missing documents” chases anything unsigned in one click
No printing

signed on a phone, filed automatically.

No re-keying

enquiry details flow into the record, contract and invoice.

No lost leads

every enquiry has a status and a next step.

Sessions, safeguarding & parents

Safeguarding parents can see

  • Timetable, seats and waitlist. Recurring sessions with seat capacity, per-session overrides and a waitlist. Tap-in, tap-out attendance.
  • Authorised collectors, with photos. Named collectors per child so staff recognise them at handover, plus a “must NOT collect” list. Guardians authorised automatically; walking-home-alone consent gated to age 14+.
  • Absence and session-move requests. Parent requests, manager approves, homework re-flows around the holiday and registers update themselves.
  • Consents and logs in one place. Safeguarding logs, photo/video/website consent tracking, evidence photos on progress notes.
The parent portal

Parents see everything — and chase nothing

Every parent is quietly asking one question: is this worth the money? CentreHQ answers it for you, every week, without you writing a single report.

  • Live National Curriculum progress charts per subject
  • 60-day homework history with completion times
  • Certificates the child can download and show off
  • Outstanding invoices only, with a branded preview
  • Documents, contracts and consents
  • Homework-day picker and child PIN management
  • “Answer books at home” — what to send back, and when
  • Helpful emails: homework nudges, reminders, confirmations
Retention

parents who can see progress against expected level renew with confidence.

Fewer messages

the answers parents usually text you for are already in their pocket.

Inspection-ready

consents, collectors and logs are recorded, dated and easy to produce.

  • Sends invoice reminders and flips unpaid invoices to overdue

  • Raises draft invoices for damaged or lost books
  • Warns about DBS certificates expiring within 90 days

Built by a centre, for centres

CentreHQ wasn’t designed in a software office. It grew inside a working FCL franchise centre, shaped by what actually happens on a session day: sets of ten pages, answer books that don’t come back, parents who ask “how is she really doing?”

Every feature exists because we needed it on a Tuesday evening. The stock forecast exists because we over-ordered. The child portal exists because homework arguments were losing us families. The 06:00 automation exists because the owner was doing it at 11pm.

It is live today, running a real centre with real families — and every improvement we make for ourselves reaches every centre on the platform.

“CentreHQ runs our centre day to day — and we helped shape it on the floor, session by session. Homework plans write themselves and re-flow when a child misses a day. Parents see real progress charts instead of asking me ‘how is she doing?’. The stock forecast tells me exactly which worksheet sets to order before a child starts. Enquiries, assessments, contracts, invoices — it is all one system, and my evenings are mine again.”

Questions centre owners ask

Is CentreHQ part of First Class Learning?

No. CentreHQ is an independent product built by an FCL franchisee for FCL centres. It is not affiliated with, endorsed by or sponsored by First Class Learning Ltd.

Who owns my data?

You do. Your centre is the data controller for your families; CentreHQ processes it on your instructions. You can export everything at any time.

Where is data hosted?

In the UK, encrypted at rest, with a full audit log and mandatory two-factor authentication for staff accounts.

How do children log in safely?

With a centre code and a 4-digit PIN on a login card you give the parent. No email, no password, no biometrics.

Can I move my existing families across?

Yes. We help import families, children, services and prices during set-up, and your first stocktake seeds the material forecast.

Does it work with QuickBooks?

Yes. Customers, invoices and payments sync both ways with idempotent matching, so nothing is duplicated.

What happens if I stop using it?

You export your data and your portal is switched off. There is no lock-in and no exit fee.

What do I need in the centre?

A laptop or tablet with a browser, and a phone or tablet for tap-in attendance. Parents and children use their own devices.
